Authorities save costs and time
Making administration attractive, relieving employees: Digitalization brings great opportunities for public authorities. But also major challenges: How can data-sensitive documents be exchanged digitally in a legally secure manner? How can authorities ensure that documents are not manipulated in transit between sender and recipient? Which systems are interoperable?
The solution is provided by the Next Generation Document Exchange (NGDX) standard. The standard is interoperable, recognized as legally compliant and transfers documents such as PDF and ZUGFeRD 2.1, which can then be integrated into business process management systems and processed automatically.
NGDX with public authorities
- The new standard focuses on functionality and interoperability
- NGDX convinces with its speed
- Documents are transmitted end-to-end
- Dispatch only starts when the receiving device is ready
- Hybrid encryption of documents and transport routes is possible
NGDX for public authorities: Speed up processes, stem the flood of paper
A family has a new family member. Because the old apartment is too small in the long term, after some deliberation they decide to buy a detached house. They start looking and soon find the ideal property. The key details are quickly negotiated with the seller. Now it's time to take out a mortgage. The bank needs original income certificates and a certified extract from the land register. The notary also needs a certified extract from the land register from the seller so that the legality of the property can be proven and confirmed. The land registry takes a long time to provide the extracts, which also extends the bank's processing time. When all the documents are finally with the notary, the purchase contract is to be concluded. It is not easy to find a date when everyone involved has time at the same time. This leads to further delays. Finally, the partners are able to agree on a date. The purchase contract is concluded after all documents, identity and signatures have been carefully checked. The notary draws up the land register entry and arranges a priority notice of conveyance for the land registry. This ensures that the house is reserved for the family until the final registration by the authorities and cannot be sold twice. Once the purchase price has been paid into the notary's escrow account, all contractual agreements are fulfilled. Nevertheless, the land register entry and thus the final transfer of ownership still takes more than two and a half months due to the high workload at the office.
The processing of the entire transaction, from the mortgage to the trusteeship to the transfer of ownership in the land register, is reduced from several months to a few days with the use of Next Generation Document Exchange (NGDX). This minimizes effort and costs.
Content is traceable, can be assigned and archived. Double encryption also makes the process fast and secure.
Communicate without loss
Send a document from wherever you want - whether smartphone, laptop or fax server. For example, the NGDX platform transmits an e-mail from Outlook as a PDF file. And without compressing or losing any data in the process. The PDF can then be archived automatically. Now you can start to further process the documents.
Verifiably safe
You receive and edit the PDF document sent from Outlook in the system of your choice. Thanks to integrated hashes, you can verify that you have received the data complete and unchanged. After receiving the document, you can process it automatically and without any additional effort. If your receiving device does not work with the NGDX standard, you will receive the document as a digital fax, which can be read out for further processing in downstream systems thanks to the integrated OCR function.
